Etsy Listing Template: Fill-in-the-Blank Title, Tags and Description
September 27, 2026
An Etsy listing template is a reusable pattern for the three fields you write by hand on every listing: the title, the 13 tags and the description. You keep the structure the same and swap in what changes from item to item, so each new listing starts at “fill in the blanks” instead of an empty form. Below is a template for each field, a filled-in example, and the mistakes that make a template hurt more than it helps.
A template fixes the structure. The words that describe your item still have to be yours, and still have to be true. Copy the pattern, never the example text.
What an Etsy listing template covers
Etsy’s form has more than a dozen fields, but most of them are choices: category, attributes, price, quantity, shipping profile. Those take seconds. The three fields that take real time are the ones you type:
| Field | Etsy’s limit | What the template fixes |
|---|---|---|
| Title | 140 characters | The order: what it is, then its key traits |
| Tags | 13 tags, 20 characters each | The mix: which kinds of phrase fill the 13 slots |
| Description | No fixed length | The sections, and the order buyers read them in |
If you want the whole form walked field by field, including attributes and shipping, the Etsy listing checklist covers that. This article is only the reusable part.
The Etsy title template
Etsy’s own guidance is to say plainly what the item is, early in the title. A template that works for most shops:
[What it is] + [main material or style] + [size, color or variant] + [who it is for or the occasion]
Filled in for a ceramic mug:
Handmade Ceramic Coffee Mug, Speckled Stoneware, 12 oz, Gift for Coffee Lover
Rules that keep the template honest:
- Name the item once, in the words a buyer types. “Mug”, not “vessel”.
- Put objective traits before opinions. “Speckled stoneware” helps a shopper decide; “beautiful” does not.
- Leave shipping, discounts and shop news out of the title. They belong in the description or your shop announcement.
- Stay well inside 140 characters. The end of a long title is cut off in search results on most screens.
More on the reasoning behind that order is in how to write an Etsy title.
The Etsy tags template
You get 13 tags of up to 20 characters each. A template for tags is a list of slot types, so you never fill three slots with the same phrase:
| Slots | Slot type | Mug example |
|---|---|---|
| 1 to 3 | What it is, in different words | ceramic mug, stoneware mug, coffee cup |
| 4 to 5 | Material and style | speckled pottery, handmade pottery |
| 6 to 7 | Size, color or variant | 12 oz mug, white speckle mug |
| 8 to 10 | Occasion or recipient | gift for him, coffee lover gift, housewarming gift |
| 11 to 13 | Use or setting | morning coffee, tea mug, kitchen decor |
The point of the slot list is variety. Each tag is another way a buyer might describe the same item, and a multi-word phrase says more than a single word. Use all 13: an empty slot is a search phrase you gave up. The full reasoning, with more examples, is in the Etsy tags guide.
The Etsy description template
Buyers read the description after they click, while deciding whether to buy. So the template follows the order of their questions:
- Opening line. What it is and why someone would want it, in one or two sentences.
- Details. Size, materials, colors, and what exactly is included.
- Care. How to clean or look after it.
- Personalization or variants. What the buyer can choose, and how to tell you.
- Delivery. Processing time, and whether it can ship as a gift.
- A closing line. A short pointer to related items in your shop, if you have them.
Filled in for the same mug:
A speckled stoneware mug, thrown by hand and glazed in soft white, sized for a proper morning coffee.
Holds 12 oz. Stoneware clay with a food-safe glaze. Each mug is made individually, so the speckling varies slightly.
Dishwasher and microwave safe. Hand washing keeps the glaze looking new for longer.
Keep the headings short and consistent across your shop, so a returning buyer knows where to look. For more on each section, see how to write Etsy product descriptions.
How to use the template, step by step
- Save the three templates in a notes file or spreadsheet, one row per product type if your shop sells more than one.
- Before listing, write five or six lines of plain notes about the item: what it is, size, materials, colors, who it suits, care.
- Fill the title template from those notes, then check the character count.
- Fill the 13 tag slots, checking none is over 20 characters and no two say the same thing.
- Fill the description sections in order. Delete any section that does not apply rather than padding it.
- Read all three fields together. The title, tags and description should describe the same item in the same words.
Step 6 is where hand-filled templates most often go wrong. After a long session, a title says “mug” while two tags say “cup” and the description says “tumbler”.
Mistakes that make a template backfire
- Copying example text between listings. Etsy shoppers see several of your listings side by side. Identical descriptions read as careless, and they tell the buyer nothing about this particular item.
- Filling every slot even when it does not apply. A “personalization” section on an item you do not personalize is noise.
- Letting the template go stale. If Etsy changes a limit or a field, one template carries the mistake into every listing made from it. Review it now and then against Etsy’s own help pages.
- Stuffing the same keyword everywhere. The tag slots exist to add variety. Repeating the title word in six tags wastes six slots.
Filling the template faster, or in bulk
The template is the structure; filling it is still typing. When you have a handful of items, that is fine. When you are listing a new collection or refreshing an old shop, the same fill-in work repeats for every item.
ListingBrief AI does the filling from your notes. You paste the same five or six lines you would have written in step 2, pick a tone, and it drafts the title within 140 characters, all 13 tags within 20 characters each, and a description in the buyer’s order, all from one set of notes so the three fields agree. You can then export the result as an Etsy or Shopify CSV. Bulk mode takes many items at once.
There are two ways to try it:
- The free tools draft one field at a time, the title or the 13 tags, with no account.
- A free account generates complete listings, 5 credits a day, with no credit card. Pro removes the daily limit for $9.99 a month or $99.99 a year (as of September 2026, see pricing).
Whichever way you fill it, the checking step stays yours: read the draft against the item and fix anything that is not true of it. If you are listing many items, the bulk listing guide covers the Etsy side of that work.
When the manual template is enough
A saved template and ten minutes per listing is the right tool when:
- you list a few items a month, and each one is different enough to deserve fresh wording;
- your items are one of a kind and the story behind each is the selling point;
- you enjoy writing your listings and your voice is part of the brand.
A generator earns its place when the same structure repeats across dozens of items, or when the blank page is the part that stops you listing at all.
Quick copy version
Save this block and reuse it:
- Title: [What it is], [material or style], [size or variant], [recipient or occasion]
- Tags (13): 3 names for the item, 2 material or style, 2 size or color, 3 occasion or recipient, 3 use or setting
- Description: opening line, details, care, personalization, delivery, closing line
Fill it from true notes about the item, read the three fields together, and publish.
