Etsy Personalization: How to Set Up Custom Options on a Listing
October 24, 2026
Etsy personalization lets a buyer tell you what to customise before they check out: a name to engrave, a date for a print, a font, a thread colour or a photo of their dog. In the listing form it now lives under Item options, in a section called Custom options, where you can add up to five fields per listing. Each field is a text box, a list of choices or a file upload. Setting one up takes a few minutes. Writing it so buyers get it right the first time is the part that saves you messages, remakes and refunds. This guide covers where the fields live, the limits on each type, how to word them, when to use a variation instead, and how to write the title, tags and description of a personalized listing.
The rule that matters most: one detail per field. Etsy’s own help page tells sellers to “Request one detail per field whenever possible”, and almost every personalization mix-up starts with a single box asking for a name, a date and a colour at once.
What Etsy personalization is
Etsy’s help centre describes it like this (as of October 2026):
Add Custom options fields to your listings so buyers can personalize the items they purchase. Personalization lets buyers tell you what they’d like customized, like a name for engraving or a special message.
The fields appear on the listing beside options such as colour or quantity, and what a buyer enters shows up with their order on your Orders page. You do not need to ask for it in a message after the sale, which is where details tend to get lost.
Older guides describe a single “personalization box” with one free-text field. That is out of date. The current setup gives you several typed fields, each with its own title, instructions and settings.
How to add personalization to an Etsy listing
On Etsy.com, Etsy’s steps are:
- Sign in and go to Shop Manager.
- Choose Listings and open the listing you want to personalize.
- Under Item options, go to Custom options and select Add field.
- Pick the field type: Text box, List of options or File upload, and fill in what it asks for.
- Check or uncheck This field is required.
- Choose Done, then publish the listing.
The Etsy Seller app has the same flow: open Listings, pick the listing, select Custom options, then the field type. To change a field later, select Edit; to remove one, select Delete. If you are working through a backlog of listings, our guide on how to edit a listing on Etsy covers every route into the form.
Adding Custom options to many listings at once
You can apply the same fields across a range of listings from the Listings page on Etsy.com:
- Go to Listings.
- Tick the box next to each listing you want to change.
- Open Editing Options and choose Change Custom options.
- Add or edit the fields, then select Apply.
This is the quickest way to bring a whole range of engraved or monogrammed items onto the same wording. For the rest of a bulk refresh, see bulk listing on Etsy.
The three field types, and their limits
Pick the field type by what the buyer has to give you. Etsy’s help page sets the limits below, as of October 2026:
| Field type | Use it when the buyer needs to | Common uses | Limits |
|---|---|---|---|
| Text box | Type custom text | Names, dates, messages | Character limit you set, from 1 to 1,024 |
| List of options | Choose from your set of choices | Font styles, colours | Up to 30 options |
| File upload | Send a photo, logo or artwork | Pet photos, logos | One upload field per listing; up to 10 files, 100 MB each; .jpg, .png, .svg, .heic or .pdf |
A few more rules sit around those:
- Five fields per listing, at most. Etsy adds that “fewer, well-defined fields” make it easier for buyers to finish their order.
- Keep lists short. Thirty options are allowed, but Etsy suggests 10 or fewer is easier for buyers to choose from.
- Required is all or nothing on uploads. The required setting applies to the whole file upload field. If it is required and you added labels, the buyer must upload a file for each label before they can check out.
- Uploaded files must follow Etsy’s Buyer Policy. If a submission worries you, Etsy’s advice is to contact Support.
Set the character limit from your design
The text box limit is yours to choose, and it should match the space on the item. A ring band that fits twelve letters wants a limit of 12. A card with a message inside can take far more. A limit set from the design stops the buyer typing a sentence you cannot fit and finding out after they paid.
How to write personalization instructions buyers follow
Etsy lists what a clear field includes: a title that says what to enter, instructions on where the text will appear, an example, and any limits such as character counts or file requirements. It also warns against generic titles like “Personalization”.
Here is the difference on a personalized birthday card, using Etsy’s own pattern:
| Field | Vague | Clear |
|---|---|---|
| Title | Personalization | Name |
| Instructions | Add your details | Enter the name you want on the front of the card. Example: Clifton |
| Second field | (none, crammed into the first) | Age: Enter the number you want on the front of the card. Example: 80 |
| Third field | (none) | Message for inside (optional) |
Four habits make the difference:
- Say where the text goes. “Front of the card”, “inside the band”, “left side of the locket”. Buyers write differently when they can picture it.
- Give one example in the exact format you want. Dates are the classic case. “Example: 14.02.2027” settles day-month order before it becomes a remake.
- State capitals and spelling plainly. If you engrave exactly what is typed, say so: “We engrave exactly what you type, including capitals.”
- Label each upload. For a two-sided locket, labels such as “Left side of locket” and “Right side of locket” tell the buyer which photo goes where.
For a list of options, put the choices in a sensible order (sizes small to large, fonts in the order they appear in your photo) and keep one detail per option. A title such as “Font style (see examples in photo)” ties the list to the image that explains it.
Charging extra for personalization
You can add a price to an optional text box, for example $5 when a buyer enters a name for embroidery. Etsy’s rules, as of October 2026:
- Add-on pricing works only on optional Text box fields, set up on Etsy.com.
- The add-on must be between $0.20 USD and $500 USD equivalent, in your listing currency.
- Buyers see the updated total before checkout, and the add-on appears on receipts and in your order details.
- To remove it, enter $0 in the Add-on price field and publish.
If you currently charge for engraving with a variation, Etsy suggests moving it to an optional field with an add-on price, so the buyer types the text and sees the price in one place.
Personalization, variation or custom listing?
The three get mixed up, and the wrong one causes stock and pricing problems. Etsy draws the line like this:
| Use | When | Examples |
|---|---|---|
| Personalization (Custom options) | The buyer enters custom details for a made-to-order item, and the input does not change your inventory | A name to engrave, a card message, an embroidery thread colour |
| Variation | The buyer picks a version of the base item, and each choice affects inventory, price or SKU | Size, base colour, material |
| Custom listing | The buyer wants a one-of-a-kind piece built to their own brief | A commissioned sculpture, a bespoke wedding sign |
Etsy also names two things personalization is not for. Do not use it to collect a phone number (message the buyer instead if shipping needs one), and do not use it to make a buyer confirm they are buying a digital file, since Etsy already marks digital listings as downloads in search and on the listing.
Photos for a personalized listing
Etsy’s image rules get stricter here. For personalized commercial items such as engraved or monogrammed products, the primary image must show a finished, personalized item similar to the final product. A blank item or a mockup with “Your Text Here” cannot be the main photo.
Beyond the first image, Etsy recommends:
- showing real finished pieces, and saying in the description when a photo is an example of an earlier order;
- labelling each option in your images, with labels that match the options in your fields exactly;
- one image per field where you can, so buyers can compare choices;
- strong contrast and a readable font for any text in the image.
Sizing and file rules for those photos are in our guide to the best size for Etsy listing photos.
Titles, tags and descriptions for personalized items
Custom options decide what the buyer can order. The title, tags and description decide whether they find the listing at all, and those are where most personalized listings fall short.
Title. Lead with the item and the personalization a buyer would search for: “Personalized Leather Dog Collar, Engraved Name Plate, Brass Buckle” says what it is before it says anything else. Etsy’s limit is 140 characters, and the opening words are the part a shopper reads first in search results. Our guide on how to write an Etsy title goes through the order.
Tags. Use all 13, each up to 20 characters, and spend some of them on the personalized phrasing buyers type: “custom name necklace”, “engraved gift”, “monogram tote bag”, “personalized mug”, alongside the occasion and recipient. Do not repeat the same phrase in three forms. The full method is in Etsy tags: how to use all 13.
Description. Repeat the essentials from your fields in plain sentences, because buyers scroll past the options box and then message you to ask. A short block works well:
- what is personalized, and where it appears on the item;
- the character limit and the fonts or colours on offer;
- whether you engrave exactly as typed;
- that personalized items are made to order, and your processing time;
- your returns position on personalized items.
The product description template has a fill-in version for personalized gifts.
When the manual way is enough
If you sell a handful of personalized items, everything above is a one-afternoon job inside Etsy’s own form, and no tool is needed. The Custom options fields, the bulk Change Custom options action and a careful read of your own instructions cover it.
The writing is what grows with the catalogue. Each new design needs a title, 13 tags and a description that mention the personalization the way buyers search for it. ListingBrief AI drafts those three from a few rough notes about the item: a title inside the 140-character limit, 13 tags of up to 20 characters and a description you can edit. It keeps to what your notes say, so put the personalization details in the notes (what is engraved, where, how many letters) and they carry into the draft. You still set up the Custom options fields in Etsy yourself. You can try it free on the Etsy title generator and the Etsy tag generator.
A quick checklist before you publish
- Every field asks for one detail, with a title that says what to enter.
- Each text box has a character limit taken from the space on the item.
- Each field has an example in the exact format you want.
- Lists are short and in a sensible order, matching the labels in your photos.
- The primary photo shows a finished, personalized piece.
- The title and tags name the personalization the way a buyer would type it.
- The description repeats the limits, the processing time and your returns position.
Run through the rest of the listing with our Etsy listing template, then preview the listing as a buyer and try ordering it with a long name. If anything in the field confuses you, it will confuse a buyer too.
