Product Description Template: Six Fill-in Versions
October 10, 2026
A product description template is a fixed order of short sections that every description in your shop follows: what the item is, why someone wants it, the facts they check, what is included, and what happens after they buy. You keep the sections and swap the details. Below is a general template you can copy today, six filled-in versions for common kinds of product, and the checks that stop a template from producing six hundred identical descriptions.
A template fixes the order of the information. The facts in each section still have to come from the item in front of you. Copy the structure, never the example wording.
Why use a template at all
Most sellers write descriptions one at a time, from a blank box, in whatever order the words arrive. That works for ten listings. By fifty, the same shop has descriptions that open with shipping, descriptions that never mention size, and descriptions that answer a question the photos already answered. A template solves three problems at once:
- Nothing important gets left out. The sections act as a checklist, so size, materials and care are never forgotten on the one listing where a buyer needed them.
- Buyers know where to look. When every description in a shop reads in the same order, a returning buyer finds the dimensions in the same place every time.
- Writing gets faster. Filling five labelled slots takes less effort than composing from nothing, and it is easy to hand to a helper.
The risk is the opposite problem: descriptions so similar that they say nothing specific. The checks near the end of this page deal with that.
The general product description template
This is the base pattern. Every filled-in version below is this same structure with the slots adjusted for one kind of product.
| Section | What goes in it | Typical length |
|---|---|---|
| Opening | What the item is, in plain words, and the main reason to want it | 1 to 2 sentences |
| Details | The facts a buyer checks: size, material, colour, weight, capacity | 3 to 6 short lines |
| What’s included | Exactly what arrives, item by item | 1 to 3 lines |
| Options | Sizes, colours, personalization, and how to choose | 1 to 4 lines |
| Care and use | How to clean, store or use it | 1 to 3 lines |
| After purchase | Processing time, packaging, returns or delivery format | 1 to 3 lines |
Copy this version and replace each bracket:
[Item name], [one trait that sets it apart]. [The main reason someone buys it, or the occasion it is for].
Details:
- Size: [measurements, with units]
- Material: [what it is made of]
- Colour: [as it appears in the photos]
- [One more fact a buyer checks for this kind of item]
What's included: [every item that arrives, and anything that does not].
Options: [the choices, and how to pick one].
Care: [how to clean or look after it].
[Processing time]. [How it is packed]. [Returns or exchanges, in one line].
Lead with the opening, always. On a phone, a buyer sees only the first line or two before deciding whether to tap “more”, and search engines often use the same opening as the snippet. If those lines are about shipping, the description has spent its best space on the least interesting fact.
Product description template for clothing
Clothing buyers worry most about fit, so the details section leans on measurements rather than adjectives.
[Garment] in [fabric], [fit: relaxed, fitted, oversized]. [Who it is for, or what it pairs with].
Details:
- Fabric: [fibre content, in percentages]
- Fit: [how it fits, and what size the model wears]
- Measurements: [chest and length for each size, or a link to the size chart]
- [Neckline, sleeve length, closure or pockets]
Sizes: [the range]. [How to choose between two sizes].
Care: [wash temperature, drying, ironing].
The line buyers miss most is the model’s size. “Model is 5’7” and wears a medium“ answers more fit questions than any adjective. The clothing description generator guide covers what notes to collect for this kind of item.
Product description template for jewelry
Jewelry descriptions turn on materials and scale, because a photo cannot show either reliably.
[Piece] in [metal or material], with [stone or detail]. [The occasion or person it suits].
Details:
- Metal: [solid, plated or filled, and the base metal]
- Size: [length, diameter or ring size range]
- Stone: [name, and whether it is natural, lab-grown or glass]
- Closure: [clasp type]
Comes in: [box, pouch or gift wrap].
Care: [how to clean it and what to avoid].
Be exact about plating. “Gold” and “gold plated” are different products, and a buyer who assumed the first will say so in a review. The jewelry description generator guide has more on the facts jewelry buyers check.
Product description template for home goods
Home goods buyers want to picture the item in their room, so scale and finish matter more than material science.
[Item] with [finish or design], [size word: small, tall, set of two]. [The room or use it suits].
Details:
- Dimensions: [height, width, depth, with units]
- Material: [what it is made of]
- Capacity: [for vessels: volume]
- [Food safe, dishwasher safe, indoor only, as it applies]
What's included: [the item, and anything not included, like plants or bulbs].
Care: [how to clean it].
Say what the photo props are. A planter shown with a plant, or a candle holder shown with a candle, invites the question of whether those arrive too.
Product description template for digital downloads
A digital buyer cannot return a file the way they return a parcel, so this description has to remove every doubt about what they will receive.
[What the file is], [format], [one trait: editable, printable, layered]. [What the buyer will do with it].
What you get:
- [Number] files in [format: PDF, PNG, SVG]
- Sizes: [each size, in inches or pixels]
- Resolution: [for prints: dpi]
How it works: [where the download appears, and that nothing physical ships].
What you need: [software or printer, if any].
Use: [personal use, commercial use, or the limits of the licence].
State that nothing physical is shipped, in the description as well as in the listing settings. It is the single most common misunderstanding with digital items. The guide to listing digital downloads on Etsy covers the listing settings side.
Product description template for personalized gifts
Personalization adds a step between order and making, so the description has to explain that step clearly.
[Item], personalized with [name, initials, date]. [The occasion or recipient it suits].
Details:
- Size: [measurements]
- Material: [what it is made of]
- Personalization: [how many characters, which fonts or colours]
How to order: [where to type the personalization, and the format to use].
Proof: [whether a proof is sent before making, and how].
Timing: [processing time, and that personalized items are made to order].
Tell the buyer what happens if they make a typo. If you make exactly what they type, say so. That one line prevents more disputes than any other in this template.
Product description template for bath and beauty
Bath and beauty buyers read ingredients and amounts. Claims about what a product does for skin carry rules in many places, so this template keeps to facts.
[Product] with [main scent or ingredient], [size]. [How or when it is used].
Details:
- Size: [weight or volume]
- Ingredients: [full list, or the main ones and where to find the full list]
- Scent: [notes, or unscented]
- [Vegan, palm oil free, or similar, only if true]
How to use: [steps].
Storage: [keep dry, use within a period].
Leave out medical or skin-result claims unless you are certain they are allowed where you sell. Describe the ingredients and the experience instead.
How to fill a template, step by step
- Collect notes first. Before writing anything, write down the facts: measurements, materials, what is included, options, care. A template with blank facts produces vague sentences.
- Write the opening last. Once the details are down, the reason to buy is usually obvious. Two sentences, item first.
- Fill each slot with the shortest true line. “Size: 11 oz” beats a sentence about generous capacity.
- Delete slots that do not apply. A mug has no closure. An empty heading looks like a mistake.
- Read it on a phone. Check that the first two lines say what the item is and why someone would want it.
- Check it against the photos. Every colour, count and prop in the photos should match the text.
Mistakes that make a template backfire
| Mistake | What the buyer sees | Fix |
|---|---|---|
| The same opening on every item | Listings that look copied | Write a new opening each time |
| Leftover text from the last item | The wrong size or colour | Fill from fresh notes, not from a copy |
| Adjectives instead of numbers | “Generous size” with no measurement | Put the figure in the details |
| Empty headings | A section with nothing in it | Delete slots that do not apply |
| Shipping and policies first | Nothing about the item above the fold | Keep after-purchase lines at the end |
The second mistake is the dangerous one. Templates encourage copying the last listing and editing it, and a forgotten “16 inch” from the previous necklace ends up on an 18 inch one. Fill from notes, not from the previous description.
Filling templates faster, or in bulk
Once the template is fixed, the slow part is turning each item’s notes into sentences. There are a few ways to speed that up:
- A spreadsheet. One row per item, one column per slot, and a formula that joins them. Fast for simple items, stiff for anything that needs a real opening.
- A general AI chat. Paste the template and the notes, ask for a filled version. It works, but you repeat the instructions every time and have to check it did not invent a material. The guide to AI chat for Etsy listings covers the checks.
- A listing generator. ListingBrief AI takes rough product notes and writes the description along with the rest of the listing: an Etsy title within the 140 character limit and 13 tags, or the Shopify SEO title, meta description, product type and variants. It writes from your notes and does not add materials or included items you did not mention, so the details slot stays as true as your notes. Every account gets 5 free generations a day, and paid plans add bulk generation. For a Shopify description on its own, the free Shopify description generator works without an account.
Whichever route you use, the final check is yours: every fact in the description should be one you can confirm by looking at the item.
When a template is more than you need
A template earns its keep when a shop has many listings of similar items. It is less useful when:
- You sell a handful of one-of-a-kind pieces. Each description deserves its own story, and a checklist in your head is enough.
- Your items are almost identical. Ten colours of the same candle are better handled as one listing with variations than as ten templated descriptions.
- The marketplace fills most fields for you. Some platforms ask for size, material and colour as structured attributes. Keep the description for what the attributes cannot say.
For an Etsy shop that wants a template for the title and tags as well as the description, the Etsy listing template covers all three fields. For real descriptions rewritten before and after, see Etsy description examples.
